Applications are currently being accepted for Senior Secretary in the School of Student Affairs located at San Diego Mesa College. Hours are Mon -Th: 8:00 am-5:30 pm, Fri- 8:00 am-3:00 pm. Selected candidate must be willing to adjust work days/hours based on the department's needs.

Ability to perform accurate, detailed work and maintain organization while working under pressure to meet multiple deadlines and department demands. Ability to establish and maintain confidential, respectful, and effective working relationships. Excellent oral and written communication skills. Computer experience with a range of applications such as Word, Excel, PowerPoint, and internet applications. Ability to interpret, follow, and explain campus and district policies and procedures. Experience: Three years of increasingly responsible secretarial and clerical experience. One year of experience in an educational institution is desirable. Major Responsibilities: Serve as secretary to the Dean of Student Affairs, supporting the dean in a variety of clerical and routine technical and administrative duties. Establish and maintain positive and professional staff and public relations. Handle confidential information. Collaborate with the Conduct Officer and the Dean to process and track Policy 3100 / Student Code of Conduct violations Assist with the coordination of the annual scholarship application process for students and scholarship leads, work collaboratively with the scholarship planning committee. Assist with the planning and coordination of the Scholarship Awards Ceremony, Commencement Ceremony, Associated Students Leadership/ Legislative Retreat, JumpStart, Homecoming, and additional campus events. Serve as a resource and support to students, staff, faculty that need assistance from Office of Student Affairs. Support department committees as needed. Establish and maintain complex, interrelated filing systems. Review and proof documents, records, and forms for accuracy and completeness. Input, modify, and update data in systems and records as necessary. Operate a microcomputer using work processing, spreadsheet, and database programs to prepare a variety of correspondence, agendas, minutes, memoranda, budgets, reports, and other materials. Prepare PAS Sheets and TAOs for Associated Student Leaders and Health Services. Manage routine office tasks, such as Dean/staff calendars, room reservations, requisitions for supplies and travel, process reimbursements, maintain copier supplies, process facilities/IT/phone work orders. Receive visitors, schedule appointments, screen phone calls, and distribute mail. Perform related duties as assigned.

Licenses:


Pay Information:
Range 21- ($3,501.42 $5,589.05) per month based on the current AFT Classified Unit Office Technical Salary Schedule.

Initial salary placement is commensurate with related experience and promotional rules. The District offers a comprehensive fringe benefit package including employer paid: medical, dental, and vision plans; sick and vacation leave; and opportunities for professional development. Initial Salary Placement, Promoted or transferred employees will be placed as specified in the AFT-Guild, Local 1931 Classified Staff Collective Bargaining Agreement. This position is FLSA Non-Exempt and may accrue overtime. A temporary probationary period will be applied to the employee entering this assignment.
