Job Summary

Simmons University is looking for an Assistant Director of Operations to join the College of Social Sciences, Policy, and Practice (College). Reporting to the Dean, the Assistant Director of Operations will be responsible for providing program leadership and services for the faculty, students, and staff directly related to the online programs in the College, specifically SocialWork@Simmons and MPH@Simmons. The Assistant Director identifies, assesses, and devises solutions for implementation, programmatic, and operational needs; serves as point person for all communications regarding programs, policies, and guidelines for faculty, administrators, advisors, and others; oversees day to day operations; and manages budget and finances for online programs. The Assistant Director will play a critical role in the management and optimization of operational functions within the College's academic programs delivered online. Responsibilities:

  • Work closely with the Dean, the Director and Associate Director of the School of Social Work, and the Program Directors of SW@S, MPH@S, and DSW@S;
  • Provide program leadership and services for the faculty, students, and staff directly related to the online programs in the College, specifically SocialWork@Simmons and MPH@Simmons;
  • Identify, assess, and devise solutions for implementation, programmatic, and operational needs;
  • Serve as the point person for all communications regarding programs, policies, and guidelines for faculty, administrators, advisers, and others;
  • oversee day-to-day operations;
  • Responsible for the overall operational well-being of the programs;
  • Develop course section projections and monitors enrollments to maximize section utilization;
  • Manage budget and finances for online programs;
  • Serves as primary liaison to all key stakeholders with external partner, SocialWork@Simmons, MPH@Simmons, School of Social Work, and departments across Simmons University;
  • Facilitate the work of the core teams to ensure quality, time, and cost;
  • Facilitate regular course designs, revisions, and iterations;
  • Maintain and promote the quality of the academic offerings;
  • Oversee data collection, management, and reporting for external accrediting bodies;
  • Contribute to the strategic planning and to improving the ways in which it can support students and faculty;
  • Work closely with the faculty and the Program Directors to set agendas for and prioritize follow up from the regular core team meetings;
  • Serves as liaison with external partner;
  • Liaise with faculty regarding pedagogical programming and academic policy for the program, including interpreting and enforcing policy and trouble-shooting program issues that arise;
  • Onboard faculty to Simmons's online policies and procedures;
  • Oversee annual updates to various program handbooks in consultation with the Associate Director and other leadership;
  • Supervise a team of three administrative staff members.


Qualifications & Skills:

  • Bachelors required;
  • Minimum 6 years of professional work experience, preferably with a minimum of 3 years in position(s) involving a significant volume of progressive operational responsibilities;
  • Minimum of 2 years of supervisory experience preferred;
  • Experience in higher education preferred;
  • Previous budget oversight experience;
  • Experience working with multiple databases and/or student platforms;
  • Excellent customer service and interpersonal skills
  • Excellent oral and written communication skills;
  • Experience and demonstrated ability to work with diverse stakeholders;
  • Ability to handle difficult situations and resolve conflicts from request through resolution;
  • Excellent organizational skills with particular ability to prioritize work to adapt to new and rapidly changing situations;
  • Strong time management and problem-solving skills;
  • Proficiency with Microsoft and Google Applications, along with an aptitude and interest in learning new tools and software;
  • Experience with online presentation software and webinar technology using audio, video and shared desktop applications (e.g. Adobe Connect, Webex, GoToMeeting, Skype) preferred;
  • Experience with online asynchronous tools (e.g. discussion boards, wall posting, blogs, wikis, online quizzes and survey tools) preferred;
  • Ability to work well with culturally diverse populations within an organization.
